Better board tools alongside a management company

Self-management is not the only reason a board needs HOA software. Sam Kirk of Stonebridge Villas in Papillion, Nebraska, explains why the community added EasyHOA while continuing to work with a professional management company.

“We see it as a tremendous investment.”

The challenge: gaps in the board’s everyday toolkit

The management company handled some responsibilities, but it did not provide every communication and organizational tool the board wanted. The community needed a practical way to share information and keep its own identity with residents.

Board turnover was another concern. When information lives with individual volunteers, a transition can leave the next board searching for documents, contacts, and the history behind decisions. Stonebridge wanted that knowledge to remain with the association.

The solution: one community information hub

Sam describes using a dedicated email address, mass texting, a local phone number, and a customized community website. Documents such as minutes, covenants, and agendas could live in a central repository instead of being scattered between board members.

The board also adopted request tracking. Requests could be connected to a homeowner, supporting files, photos, and follow-up. The video describes using the same process for questions and complaints so they would be easier to track.

Other examples include surveys and voting tools, a shared calendar, owner login reports, and contractor records with contract expiration reminders. These were tools the board used to complement, rather than automatically replace, its management company.

The results: continuity and visibility

Sam’s emphasis is on keeping information from falling through the cracks. A central system made records available for future board members, while the calendar and contractor tracking helped the board keep an eye on recurring work.

He describes the cost as an investment whose value continued to increase with use. The video does not put a dollar value on that benefit. Its value proposition is better continuity, communication, and follow-through.

A lesson for professionally managed associations

Before assuming your management arrangement covers every board need, list the tools and records your volunteers actually use. This case shows how an association can keep its manager and still improve its own day-to-day information flow.
