Kings Gate Park

From office paperwork to online community workflows

Kings Gate Park’s secretary, Lisa Joyce, describes a 286-unit resident-owned community on Florida’s Gulf Coast. Its EasyHOA rollout began with operations, rather than trying to change every system at once.

“The difference has been incredible.”

The challenge: little automation and office-dependent tasks

Before the rollout, Lisa says the community had a website for some documents but little automation. Residents had to visit the office to sign in or out of the park, and forms created work for residents, administrative staff, and the board.

The community wanted to make those routine interactions easier while keeping supporting records organized by home.

The solution: start with the operational side

The association began with operational features. Lisa describes digitizing exterior modification requests, general questions, and action forms so residents could submit them online and follow their progress.

Supporting permits, photos, and other documents could be attached to unit records. The community also used the calendar and made important documents available online. These changes connected the request with the information needed to handle it.

The video discusses document availability in relation to Florida requirements. This case study describes the customer’s workflow; it does not independently certify legal compliance. An association should confirm its own disclosure and website obligations with qualified counsel.

The outcome Lisa reported

Lisa describes positive resident feedback and significant time savings for staff, residents, and the board, without assigning a measured number of hours. The ability to keep records with the relevant unit helped make the new process easier to maintain.

She also praises responsive support and the availability of instructional videos. Her account emphasizes usability and value for the community’s needs, rather than a claim that one product must have every feature of a larger system.

A lesson for a phased rollout

You do not have to solve every process at once. Pick a recurring task that causes unnecessary office visits or follow-up, give residents a clear online path, and keep the supporting information with the request. Kings Gate’s story shows that operational improvements can be a useful starting point.
