THE SELF-MANAGED BOARD GUIDE

How to choose software for your self-managed HOA

The right software should fit the work your board actually does. Before comparing feature lists, write down the tasks that take the most time and the information your owners ask for most often.

Start with your everyday workflows

Walk through collecting dues, reviewing financials, answering an owner question, and processing a maintenance request. Ask each vendor to demonstrate the entire workflow rather than isolated screens.

Understand the full cost

Compare the subscription, setup, payment processing, optional services, and any limits on communications or users. Confirm pricing in writing for your community’s size.

Ask how your data gets there

Find out which records can be imported, who prepares them, and what assistance is included. Ask how opening balances and owner details will be checked before you begin billing.

Test the owner experience

Try the experience on a phone. Look at finding a balance, making a payment, locating a document, and submitting a request. Clear owner workflows can reduce routine questions to the board.

Check support and future handoffs

Ask how to reach support and what training is available. Confirm how a new board member receives access and how you can export your records if your needs change.

General organizational guidance. Adapt your board’s practices to its governing documents and applicable requirements.
